For most businesses that serve customers in person, the Google Business Profile is the most visible thing they own online. It appears in the map pack, in Google Maps and in branded searches, often before anyone sees the website. Yet many profiles in the Tricity are half-complete, use the wrong category or were set up years ago by someone who no longer works at the business.

This guide walks through each part of the profile in the order we usually review it, with notes on what matters for businesses in Chandigarh, Mohali, Panchkula and Zirakpur. Google's own rules are in the Google Business Profile Help Centre, and they are worth reading because enforcement is strict.

First, confirm ownership and access

Before optimising anything, check who owns the profile. We regularly find profiles owned by a former employee, a website developer or an old agency. Go to the profile management screen and confirm:

  • A business owner or permanent staff member holds the primary owner role.
  • Agencies and staff are added as managers, not owners.
  • There are no duplicate profiles for the same location. Duplicates split reviews and confuse Google.

If someone else controls the profile and will not transfer it, Google has an ownership request process. It takes time, so start early.

Business name: the rule people break most

Your business name on the profile must match the name you use in the real world: on signage, invoices and letterheads. Adding keywords or locations, such as "[Clinic Name] Best Dentist Mohali", is against Google's guidelines. It may appear to help for a while, but it is one of the most common triggers for suspension, and competitors can report it.

If your legal or signage name genuinely includes a descriptive word, that is fine. Just do not add words that are not part of the real name.

Categories: the biggest single lever

The primary category tells Google what your business is. It has more influence on which searches you appear for than almost anything else in the profile.

  • Choose the most specific accurate primary category. "Orthodontist" is better than "Dentist" if orthodontics is what you mainly do.
  • Add secondary categories only for services you genuinely offer as a significant part of the business.
  • Look at which categories appear on profiles that show up for your main searches. Tools and browser extensions can reveal these, or you can check the category shown under the business name.
  • Revisit categories when your business changes. Google also adds new categories from time to time.

Services, products and description

The services section lets you list what you actually offer, with short descriptions. Use the words customers use, not internal jargon. A packers and movers business in Zirakpur might list "household shifting", "office relocation" and "car transport" rather than "logistics solutions".

The business description should explain what you do, who you serve and what makes you different, in plain language. Do not paste a list of keywords or include links or promotions. Mentioning the areas you serve naturally is fine.

For retailers, the products section can showcase key product lines with photos. For restaurants, keep the menu updated either directly or through a linked menu.

Address, service areas and hours

Storefront businesses

If customers visit you, show your exact address and make sure the map pin is on the right building. In Chandigarh's sector grid, pins sometimes land in the wrong sector or on an inner road, which frustrates customers trying to find you. Drag the pin to the correct entrance if needed.

Service-area businesses

If you travel to customers, such as plumbers, pest control or home tutors, you can hide your address and list service areas instead. Keep the list realistic. Listing every city in Punjab and Haryana does not help you rank there; ranking is still strongly influenced by where the business is based.

Virtual offices and co-working

Using a virtual office address or a mailbox is against the guidelines. Co-working spaces are only acceptable in limited situations where you have staffed presence during stated hours. This is a frequent cause of suspension for new businesses.

Hours

Keep regular hours accurate and add special hours for festivals and holidays such as Diwali or Gurpurab. Customers who arrive to find you closed tend to leave unhappy reviews.

NAP consistency across the web

NAP stands for name, address and phone number. These details should be identical on your profile, website, social profiles and major directories. Small differences add up: "SCO 12, Sector 9-D" in one place and "Shop No. 12, Sec 9D" in another.

  • Decide on one standard format for the address and use it everywhere.
  • Use a local phone number that is answered during business hours.
  • Put the same NAP in your website footer and on the contact page.
  • Update old listings when you move or change numbers.

Photos and videos

Photos help customers decide, and they show Google the business is active. Upload genuine images rather than stock photography:

  • Exterior photos that help people recognise the entrance, including from the street.
  • Interior photos showing the space customers will experience.
  • Team photos, with permission.
  • Your work: completed projects, dishes, products or before-and-after images where appropriate and permitted.

Add new photos regularly rather than fifty on one day and nothing after. Check photos uploaded by customers too, and report any that are irrelevant or inappropriate.

Posts and updates

Google Business Profile posts let you share offers, events and updates. They do not appear to be a major ranking factor, but they help conversion because people see an active, informative business. Useful post ideas include seasonal services, new product arrivals, event announcements and answers to common customer questions.

Reviews: how to ask ethically

Reviews influence both visibility and whether people contact you. The rules are clear and enforced:

AllowedNot allowed
Asking every genuine customer for a reviewOffering discounts, gifts or cash for reviews
Sharing a direct review link by SMS, WhatsApp or emailAsking only happy customers (review gating)
Replying politely to all reviews, positive and negativeStaff or family posting reviews
Reporting reviews that break Google policyBuying reviews or using review exchange groups

Reply to negative reviews calmly and factually, without sharing private customer details. For healthcare providers, be especially careful not to confirm that the reviewer was a patient. A thoughtful reply often reassures future customers more than a perfect score would.

Questions and answers

Anyone can ask or answer questions on your profile, which means inaccurate answers can appear. Monitor this section, answer questions yourself, and consider seeding it with genuine frequently asked questions, answered clearly. Keep answers factual and avoid sales language.

Suspension risks and how to avoid them

Suspensions are stressful because the profile disappears or loses its visibility until reinstated. The most common causes we see are:

  • Keywords added to the business name.
  • Virtual office or residential addresses used for a storefront listing.
  • Multiple profiles for the same business at the same location.
  • Sudden bulk edits, such as changing name, address and category at once.
  • Suspicious review patterns.

If suspended, fix the underlying issue first, then submit a reinstatement request with evidence such as signage photos, utility bills or registration documents.

Illustrative example

Illustrative example. A salon in Panchkula has a profile with "Beauty salon" as its only category, no services listed, three photos from opening day and reviews left unanswered. A practical first month would be: confirm ownership, add "Hair salon" and "Nail salon" as secondary categories if those services are significant, list individual services with short descriptions, upload fresh interior and work photos, start replying to every review, and begin asking each customer for a review with a direct link at billing.

Key takeaways

  • Confirm the business, not an agency or ex-employee, owns the profile.
  • Use your real business name and the most specific accurate primary category.
  • Keep NAP identical across your profile, website and directories.
  • Upload genuine photos regularly and post updates to show an active business.
  • Ask every customer for reviews, never offer incentives, and reply to all reviews.
  • Avoid fake addresses and keyword-stuffed names, the main causes of suspension.

Frequently asked questions

How often should I update my Google Business Profile?

Review the core details, such as hours, categories and services, every few months and whenever something changes. Add photos and posts regularly, perhaps a few times a month, and reply to reviews as they come in. Consistent small updates are better than occasional large edits, which can sometimes trigger a re-verification.

Can I have a Google Business Profile without a shop or office?

Yes, if you serve customers at their location. Set up as a service-area business, hide your address and list the areas you serve. You still need a real address for verification. Using a virtual office or mailbox address to appear local is against the guidelines and risks suspension.

Why is my business not showing on Google Maps for my main service?

Common reasons include a primary category that does not match the search, the searcher being far from your location, few or no reviews compared with competitors, inconsistent NAP details, or a profile that is unverified or suspended. Check each of these in turn before making bigger changes.

Is it okay to ask customers for Google reviews on WhatsApp?

Yes. Sending a direct review link to genuine customers by WhatsApp, SMS or email is allowed. What is not allowed is offering anything in return, asking only customers you expect to be happy, or having staff and relatives write reviews. Ask everyone, keep it simple, and reply to what they write.
